If your client reads Spanish more comfortably than English, sending an invoice in Spanish removes friction: their accounts team can file it without translating, and there's less room for misunderstanding about amounts and due dates. - Pago a 15 días desde la fecha de factura. (Payment due within 15 days of the invoice date.)
- Por favor, indique el número de factura en la transferencia. (Please include the invoice number with your transfer.)
- Operación con inversión del sujeto pasivo. (Reverse charge applies: used by EU businesses billing other EU businesses.)
Legal Points to Check by Country
- Spain: Invoices issued by Spanish businesses must include both parties' tax IDs (NIF) and the IVA breakdown, and Spain is introducing VeriFactu rules for invoicing software. If you're registered in Spain, check with a gestor or accountant.
- Mexico: Businesses registered in Mexico must issue official electronic invoices (CFDI) through an authorised provider. A PDF invoice doesn't replace a CFDI.
- Foreign freelancers billing Spanish-speaking clients: Your own country's invoicing rules apply. A Spanish-language invoice is a courtesy that helps your client; it doesn't change your tax obligations.
- US businesses with Spanish-speaking customers: A Spanish or bilingual invoice is fine as long as it contains everything your own records need.
Getting Paid in Euros or Pesos
Agree the currency before you invoice. Clients in Spain will expect euros and usually pay by SEPA bank transfer, so an IBAN in euros (for example from Wise) makes it easy.
