Tutors have a billing problem most freelancers don't: lots of short sessions, usually paid for by someone other than the student. Without a routine, you end up chasing parents for small amounts. A clear invoice format, sent on a regular schedule, fixes most of it.
What to Put on a Tutoring Invoice
- Your name or business name, contact details and logo.
- The bill-to name (parent, guardian or school) and the student's name.
- An invoice number, issue date and due date.
- Each session: date, subject and duration, or the package being paid for.
- Materials, exam fees or travel, if you charge for them.
- Your cancellation and no-show policy, in one line.
- Payment instructions.
Three Ways to Bill Tutoring
- 01Pay as you go: Invoice after each session or each week. Simple, but you chase more small payments.
- 02Monthly in advance: At the start of the month, invoice for the sessions scheduled. Steady income, and missed lessons are covered by your policy.
- 03Prepaid packages: Sell blocks of lessons (for example 10 hours or an exam-prep course) paid up front, often at a small discount. Best for cash flow.
Example: A Monthly Tutoring Invoice
- Student: Maya Chen, GCSE Maths
- Weekly 1-hour lessons, Nov 4, 11, 18, 25 (4 × $60): $240
- Past-paper workbook (1 × $18): $18
- Total due by Nov 1: $258
Cancellations and No-Shows
Decide your rule once and write it on every invoice, for example: 'Lessons cancelled with less than 24 hours' notice are charged in full.' If a lesson is cancelled with enough notice, offer a make-up session or credit it on the next invoice as a negative line, so the record stays clear.

Online tutors often teach families in other countries. Agree the currency first, invoice in it, and include payment details that work across borders, such as a Wise account or international bank details.
